How to Find the Right Part Fast from an OEM Number: The Search and Quote Workflow
An OEM number identifies a part, not a fitment. A four-layer lookup routine that takes counter staff from the number a customer sent to a quotation that ships correctly.
Start here: an OEM number identifies a part, not a fitment
An OEM number points at one part in the vehicle maker's system. It does not tell you which vehicle that part belongs to or which position it sits in. The same number can be carried across several model lines and years, while one vehicle can use completely different numbers for left and right, or for front and rear doors. So the only reliable unit of enquiry is a triple: number plus vehicle (make, model, year) plus position. Missing any one of the three and what you quote is a guess wearing a number. What follows is the routine for taking a number someone sent you and filling in the other two.
One number, many parts — and many numbers, one part
Numbers and parts are not related one-to-one, and expecting them to be causes most lookup frustration. One number can cover several physical variants, when a maker keeps a number across trim levels or an aftermarket producer consolidates near-identical specifications. Several numbers can cover one part, when the same component is coded differently by market or year, or an old number is superseded and both stay in circulation. Expect the many-to-many and a search returning two or three candidates stops feeling like failure. It is simply the point where vehicle and position have to do the narrowing.
The four things you need before you can quote
Four items, no fewer. One, the vehicle: make, model and model year, or a VIN that gives you all three. Two, the position: left or right, front or rear door, outside or inside handle. Three, the number: an OEM reference or whatever code the customer holds. Four, the quantity, and whether it is per side or per vehicle set. Miss one and the quotation is provisional whether you say so or not. The cheapest fix in the whole workflow is making these four required fields on the enquiry form, so the gaps surface before a price does rather than after.
Five kinds of information customers send, five different responses
What lands in the inbox is almost always one of five things: a complete OEM number, a partial base number, a competitor's catalogue number, a photograph, or a sentence of description. They descend in reliability roughly in that order, and handling cost rises in the same direction. Classify the enquiry before touching the search box, because each type has a different correct first move. Treating a photograph like a number, or a competitor code like an OEM code, is where the wasted email threads begin.
A complete OEM number: fastest route, still needs a vehicle check
When the number looks complete, paste it exactly as received before you improve it. You want to know whether the string as the customer holds it exists in your data. When it hits, resist the urge to quote. Open the record and compare the vehicle and years registered there against the vehicle the customer named. Carry-over of a factory number into other model lines is ordinary, not exotic, so a number match is not a vehicle match. Only when the number and the application both line up is the enquiry closed.
Only a base number: identify the family first, then the side
When a customer gives you the leading segment and nothing else, you are holding a family rather than a part. The wrong response is to pick the closest-looking item and send a price. The right response is to list every variant under that base — each with its vehicle, years, position and finish — and ask the customer to point at one. That is one email instead of three. A competitor's catalogue number: convert once, never twice
When the code is another aftermarket brand's catalogue number, convert it back to an OEM number first, then use the OEM number to find your own item. What you must not do is map aftermarket code straight to aftermarket code. Every cross-table hop carries the error rate of whoever compiled that table, and two hops compound rather than cancel. If you have no source you trust for the first conversion, treat the enquiry as having no number and go the vehicle-plus-position route instead.
A photograph alone: why it never settles door hardware
A single photograph is almost never enough for door handles, hinges, latches and hood locks, and it is worth telling customers why. The differences that decide fitment sit where the camera is not looking: the geometry of the rod or cable interface, clip and tab positions, whether there is a key barrel aperture or a blanking cap, the pin arrangement on a sensor connector, and left-right mirroring. Two parts can be indistinguishable from the front and still refuse to seat. A photo is supporting evidence for a conclusion you reached another way, not the conclusion.
The three angles that make a photograph usable
If a photograph has to carry weight, ask for three specific views rather than "a better picture". First, the full back face, showing clips, screw bosses and the linkage interface. Second, an oblique of the mounting face, which reveals curvature and thickness a straight-on shot flattens away. Third, a close macro of any moulded-in characters or label, since many parts carry a number on the reverse the customer never thought to look for. Add a side shot of the vehicle to fix the model and door. Even with all four, that is corroboration, not proof.
Only a description: translate the sentence into three fields
When the enquiry reads "black door handle for a Hilux", do not start guessing. Break the sentence into the three fields you need and see which are blank: which vehicle (model and year), which position (front or rear, left or right, outside or inside), and which finish (unpainted black, chrome-plated, or paint-to-match). Then ask only about the blanks, in one message. A targeted question that shows you have already done part of the work gets answered far more reliably than a form letter asking for everything again.
Search the catalogue in four layers, tightest first
Search in a fixed order, strictest to loosest: exact string, then normalised string, then base number with the suffix removed, then vehicle plus position with no number at all. The order matters because confidence falls at every layer, so a hit at layer one needs less corroboration than a hit at layer three. It also saves work: when layer one hits, you never run the rest. Staff who start loose because it "finds more" are the ones who pick up parts similar to the right one rather than the right one.
Layer one: the exact string, exactly as received
Paste the number as it arrived. Numbers copied out of emails and PDFs routinely carry leading or trailing spaces, full-width characters, soft line breaks or a stray non-breaking space, so check the box holds what you think it does. A hit here means your data contains a byte-identical record — the highest confidence available, and it still requires the vehicle check above. A miss means very little on its own: usually the number is written differently, not that the part does not exist. Go to layer two.
Layer two: normalise the string and search again
Normalising means washing both sides of the comparison into one shape before matching: strip every space and hyphen, fold case, and handle the characters people and scanners confuse. The pairs that cause the most damage are the letter O against the digit 0 and the letter I against the digit 1, then S against 5 and B against 8. Manual re-typing and OCR of a printed catalogue generate exactly these errors. The counter-level technique is to run both readings rather than betting on one. A normalised hit still has to be confirmed against the vehicle
This deserves its own heading because it is the step people skip. Normalising is a deliberately loosened comparison, and anything loosened can pull in a record that was never the same number. After a layer-two hit, go backwards twice. Does the application on the matched record — model and years — agree with the vehicle the customer named? And when you write the matched number back out in standard form, is it genuinely the number the customer sent, or did the O/0 swap land you on a different real number? Quoting because "the search found something" is the commonest origin of a wrong-part shipment.
Layer three: drop the suffix and search the base
When neither exact nor normalised searching hits, remove the trailing variant segment and search the base alone. This usually returns a family rather than an item, and that is the point: you have moved from finding an answer to generating a shortlist. Treat it that way. Send the shortlist back with the distinguishing attributes visible next to each row — vehicle, years, position, finish — and let the customer identify theirs, or ask for a VIN and narrow it yourself. Never take the first row of a base-number result and quote it as though the customer had given you that number.
Layer four: abandon the number and search vehicle plus position
When no form of the number returns anything, go back to the oldest and most robust axis: this vehicle, this year, this position — what do we have? Then run the check in reverse. Take the OEM references printed on the record you found and send them to the customer to compare against the part in front of them. This reverse confirmation resolves a surprising share of dead-end enquiries, because the number the customer typed was often mis-transcribed or superseded rather than wrong in substance. It costs one email and almost nobody does it.
Superseded numbers: the code in hand may not be the current one
Vehicle makers retire numbers and issue replacements, and on long-lived commercial models that can happen more than once over a production run. The number in a customer's workshop manual, on an old invoice, or in a printed catalogue from a few years back is often the one that was replaced. So when a search fails, the first hypothesis should not be "we do not make this part" but "this is an older number". The reverse is just as common: the customer quotes the current number while your record still carries only the number it replaced.
Keep old numbers searchable — never delete them
One discipline matters more than any other here: when a number is superseded, do not remove it. Keep it on the same record as an alias in the cross-reference field, flagged as replaced by the current number. A deleted number does not become harmless, it becomes a dead code — the customer's paperwork still says it, they still search it, and they still get nothing. Repeat enquiries and "you don't have it" replies trace straight back to that deletion. What to write when only the superseded number matches
If the match came through the old number, put both numbers in the reply and state the relationship explicitly: the number you supplied is the superseded reference, the current reference is this, and the item offered corresponds to that part in the position stated. Put it on the quotation, not only in the covering email. The reason is unglamorous but real — quotations get forwarded, filed and audited long after the email thread is gone, and if a dispute arises the document is what both sides will read.
Suffixes carry colour and finish, so do not drop them casually
Trailing suffix characters routinely encode exactly the differences that make a part right or wrong: colour, surface finish, presence or absence of a key barrel, presence or absence of a sensor provision. Dropping the suffix during layer three is a legitimate way to widen the net; forgetting to put it back before you quote is not. On door handles, unpainted textured black, bright chrome and paint-to-match are three different items with three different prices and often three different lead times. Finding the family and failing to pin the variant is a textbook wrong-part cause.
"Fits" and "is the same part" are different claims
An aftermarket item is correctly described as suitable for an application. It is not correctly described as identical to the factory part, and the distinction is not pedantry. A part can fit several vehicles without matching the original in material, coating or what is included in the box; conversely, two parts that photograph identically can differ at the linkage interface by a few millimetres and never seat. Say which claim you are making. Stating applicability clearly, and avoiding any implication of origin or brand equivalence, protects the customer's expectations and your own position at once.
How to phrase applicability and its limits on a quotation
Use three fixed blocks and the responsibility boundary writes itself. Confirmed: this item is applicable to the stated model, model years and position, with the OEM references listed. To be verified by the customer: please confirm against the vehicle's VIN or the number on the part being replaced. Excluded: other model years, other trim or equipment levels, and any original-manufacturer marks, logos or branding. Three blocks of a few lines on every quotation. When something goes wrong months later, both parties can see what was agreed instead of arguing about what was assumed.
When to ask for the VIN, and how to ask without friction
Ask for the VIN when the same model and year carries multiple trim or equipment variants, when there are several production origins for one model, or when the year given falls on a facelift boundary — that is, whenever your shortlist will not collapse to one row. How you ask decides whether you get an answer. "Insufficient information" reads as a refusal. "So I can lock this to the exact part and save you a return, could you send the chassis or VIN number?" reads as service. Frame it as removing the customer's risk, not transferring yours, and use the number only for this verification.
When the customer cannot supply a VIN, accept ranked substitutes
Many buyers are traders with no vehicle in front of them, so "no VIN available" is normal rather than evasive. Have a ranked fallback ready. First, a clear photograph of any moulded characters or label on the back of the part being replaced — the closest thing to direct evidence you will get. Second, a photograph of the vehicle's manufacturer data plate. Third, the model and year fields from a registration document. Fourth, the customer's own stock card or previous purchase record for the same line. Any of these beats "it's a Hilux, I think", and none of them feels like being made to jump through hoops.
The counter script: three questions that resolve most ambiguity
Most vague enquiries collapse under three questions asked together in one message. One: which model and which model year is the vehicle? Two: which side and which door — left or right, front or rear? Three: is it the outside or inside handle, and is the finish unpainted, chrome or painted? Ask all three at once; sending one question per email is what turns a two-day enquiry into a two-week one. Print the three lines and tape them next to the counter screen, and a new colleague is productive in their first week rather than their second month.
Log the enquiries you cannot fill — they are stocking intelligence
An enquiry you cannot fill is information, not a failure, and the difference is entirely whether you record it. Capture it as a structured row rather than a filed email: vehicle, model year, position, the number supplied, the date, the quantity, and the customer's market. Review the list once a month. Any combination appearing three or more times from different customers is a candidate for sourcing or simply stocking. Most companies archive these emails and throw away the most honest demand signal they will ever get — one the customer took the trouble to write.

Using the site search with an OEM number
Pasting the OEM number straight into the site search box is the fastest path, and it is the four-layer routine in miniature. If nothing returns, work down the layers: paste it again with hyphens and spaces removed; try it once with the confusable characters swapped, O for 0 and I for 1; then keep only the leading base segment; then abandon the number and search the vehicle with the part type in English, for example the model name together with "outside handle". If all four come back empty, do not let the thread die — put the request into the enquiry form with vehicle, position and number, and let the sales side pick it up.
A worked example: the outside handle for HILUX CHAMP 2023
Take a real catalogue item: HG-TY-1106, an OUTSIDE HANDLE for the TOYOTA HILUX CHAMP 2023, with OEM references L: 69220-0K010 and R: 69210-0K440. Suppose the email says only "69220 0K010, need 20 pcs". Step one, layer two: strip the space to get 692200K010 and search, which returns HG-TY-1106. Step two: open the record, confirm the application reads HILUX CHAMP 2023, and check that against the vehicle the customer described — do not skip this because the number matched. Step three: notice what the number actually specifies. That reference is the left-hand part, and the customer never stated a side. The enquiry is one question away from closed.
The same example, continued: getting side and quantity onto the quotation
Ask, and the answer goes one of two ways. If the customer is buying vehicle sets, the 20 becomes a split across left and right. If they were copying the number off the old part on the bench, the 20 almost certainly means twenty left-hand pieces. Either way, one question prevented a shipment of the wrong hand. There is a warning inside this example: do not infer the opposite side from the number you have. Here the left reference is 69220-0K010 and the right is 69210-0K440, and the trailing segments are not symmetrical — arithmetic would have produced a number that does not exist. Five mistakes that cause wrong-part shipments
One: quoting on a number match without checking the vehicle and years on the record. Two: searching by base number, finding the family, and shipping without restoring the suffix that carried colour or finish. Three: calculating the opposite side instead of looking it up. Four: judging two parts identical from a front-on photograph. Five: the customer never stated a side and the warehouse defaulted to one. Every item is the same error in different clothes — one confirmation that was not performed. Each confirmation costs a minute or two; a return costs freight both ways plus the relationship.
The last line of defence: make the packaging speak
Wrong parts are often picked in the warehouse rather than chosen at the counter, so put a check where the picking happens. Print your own item number, the corresponding OEM references, the applicable model and years, and the side — left or right — on both the outer carton and the inner bag. The picker then has nothing to remember, and the customer can verify the contents against the order before the box is opened. Left and right door handles look nearly identical to the eye at speed, which is exactly why the label, not the eye, should be doing the sorting.
Turn the workflow into form fields, not reminders
What lowers the error rate is not training people to remember steps, it is building the steps into the tools so they cannot be skipped. Make vehicle and model year, position, OEM number and quantity required fields on the enquiry form. Make the confirmed / to-be-verified / excluded blocks a fixed template section on the quotation rather than something each person writes freehand. Make the unfillable-request log an actual table with columns. A process written in a document gets forgotten; a required field does not. It is also the cheapest way to onboard new counter staff.
Closing checklist
Before the quotation goes out, run the list. Did you search the string exactly as received? Did you search the normalised form, including the O/0 and I/1 alternatives? Did you search the base number? Does the application on the matched record agree with the customer's vehicle and year? Has the customer explicitly stated the side and the door rather than you assuming it? Is the finish or colour implied by the suffix confirmed? If the match came only through a superseded number, does the quotation say so? Are the confirmed, to-be-verified and excluded blocks present? Is the quantity confirmed, and is it per side or per vehicle? Nine passes, then send.
